GUEST POLICY--we are currently not accepting guests
CELL PHONE POLICY
In consideration of others, all members should wear earphones when using an electronic device in the YMCA facility, and refrain from having phone conversations/playing music with speaker phone.
NO SOLICITING
This policy prohibits commercial solicitation which includes offers for the sale of goods or services, political campaign material distribution, or any other requests for money, business, or votes.
SITTING AREA ETIQUETTE
- Use your “indoor voice.”
- Use earphones when listening/watching videos or music.
- Respect others who wish for a little peace and quiet.
- If you plan on staying awhile, avoid spreading your belongings over other tables.
- Avoid rearranging or moving tables.
WEIGHT ROOM AGE LIMIT
Members must be 15 years old or older to use the weight equipment at Caledonia YMCA, and the Healthy Living Center at Downtown YMCA. Members can be 13 years old, and with a parent, to use the equipment in these rooms. Members must be 12 years old or older to use the Circuit Room at the Downtown YMCA.
YOUTH MEMBERSHIPS
· Children ages 10-13 must be on a Family Membership.
· Children ages 10-13 must be accompanied by one of up to 6 previously authorized and designated chaperones. Only the primary adult on the family membership can authorize a chaperone.
· Chaperones must:
Be a YMCA member
Be listed below
Be a sibling 16 or older, or family member/friend 18 or older
Stay in the YMCA while the child is in the building/child leaves with chaperone
· Children ages 14-17 can have a Youth Membership
· Children ages 14-17 can be in the YMCA without a parent or chaperone
· Children 14-17 must be picked up 1 hour before closing time (Pick up time: Mon-Thur 8:00pm, Fri 7:00 pm, Sat 4:00pm)
· Children displaying inappropriate or disrespectful behavior will be suspended
NON-SUFFICIENT FUND POLICY
Regarding automatic and one time EFT (paper check) payments, in the event of a returned payment from your financial institution, a $10 return payment fee will be charged to your account.
CREDIT CARD OR BANK DRAFTS
Monthly dues are automatically withdrawn from your credit card or checking/savings account each month. Please notify the Y before expiration of your credit card on file.

The YMCA observes the following holidays:

FITNESS FACILITY DRESS CODE
- Athletic clothing, including shirts that cover the midsection and chest, must be worn at all times
- Clean closed toed/closed heeled athletic footwear required (no sandals, flip flops, crocs, or boots)
- No jeans, belts, keys, or any clothing that may cause damage to the upholstery may be worn
- Clothing with vulgar messages are prohibited
- For swimmers, swim suit covers and/or shirts must be worn when not in the pool area.
FOOD AND DRINK
1. Our front lobby may be used for eating.
2. No food allowed in the gymnasium.
3. No food allowed in the work-out areas and fitness studios.
4. Hydration, water bottles, etc. are allowed in all areas of the YMCA.
CANCELLATION OF MEMBERSHIP
As a member of the Y, you do not have to sign a membership contract and you may end your membership at any time with 30 days written notice. Members wishing to terminate should do so in person to complete the termination form and surrender membership cards. If you are terminating due to a health concern, we can suspend your membership. If you are terminating due to financial reasons, please ask to speak with our Membership Director about financial assistance. All terminations take 30 days to take effect. Members who have let their membership lapse more than 30 days or who have been terminated for more than 30 days will have to pay the Joining Fee if they wish to restart their membership.
The YMCA is unable to issue refunds or credits for non-usage of the facility. Memberships are non-transferable.
REQUEST FOR MEMBERSHIP HOLD
We offer Membership Holds to our members who, due to medical need, financial reasons, or other unforeseen circumstances, are not able to use their membership. We will stop your credit card or bank draft, but you will not have to cancel your membership. There is a 30-day notice needed to stop a bank or credit card draft. Membership will automatically resume after the hold ends.
YMCA LOCKER RENTAL
Day Locker Usage
There are a number of day-use lockers in the YMCA locker rooms available for no charge. Members provide their own locks for day-use lockers. All locks on a day-use locker must be removed by the end of the day upon facility closure or belongings will be removed and placed in lost & found.
Renting a Locker
There are a limited number of designated lockers in each locker room available for rental by YMCA members. In order to rent a locker the member must fill out a Locker Rental Agreement form at the Member Service Desk, and set up monthly payment. At that time, a locker number will be assigned. Members renting lockers must provide their own lock.
Locker Rental Agreement
- Locker rentals are available for current YMCA members.
- It is important that a lock remains on the member’s assigned locker.
- A decision to relinquish a locker must be submitted to the Member Service Desk by the 10th of the month to stop payment.
- Frank P. Phillips Memorial YMCA is not responsible for any damages, theft or vandalism that may occur to the locker or its contents.
- The YMCA reserves right to contact members and ask them to remove items that are unsanitary or disturbing to general locker room setting. The YMCA reserves the right to remove the lock and offensive items if left unattended.
WEIGHT EQUIPMENT
All weight equipment and fitness equipment made available in YMCA studios and workout areas must be kept in these areas. Items must not be relocated to other areas of the YMCA facility.
NO LOITERING
The YMCA does not allow loitering in the facility or on the property. (Loitering is the act of remaining in a particular public place for a prolonged amount of time without any apparent purpose.)
NATIONWIDE MEMBERSHIP
As a valued YMCA member, you have the flexibility to visit and use other YMCAs throughout the country at no extra charge. Simply present your YMCA membership card and photo ID at participating YMCAs and enjoy complimentary access. The Nationwide Membership program is valid for YMCA members with full memberships. Silver Sneakers members are not eligible for Nationwide access.
ACCIDENT, INJURY OR INCIDENT
We do our best to keep you safe but if an accident, injury, or unusual incident does occur, please report it to the Director or Supervisor on duty or the Member Services staff immediately. The Y recommends all members and participants consult a physician prior to starting an exercise program. The Y assumes no responsibility for injuries incurred while participating in YMCA activities; it is expected that all members who use YMCA facilities carry their own medical insurance.
MEMBERSHIP BATHROOM POLICY
1. It is the policy of the Columbus YMCA to provide membership with an objectively reasonable safe and secure place for their personal hygiene needs and bathroom use. The Y acknowledges the reality that many of our membership would feel unsafe, insecure, and uncomfortable should a member of the biological opposite sex enter the spaces designated for such use.
2. Recognizing this to be the case, all members will use the bathroom facilities appropriate to their biological birth gender; i.e: Those born as males will use those facilities marked either “Men” or “Boys” while those born a females will use those facilities that are marked either “Women” or “Girls”.
3. For those members who are non-binary or otherwise gender fluid, there remain a number of bathroom facilities which are not designated as either exclusively men’s or exclusively women’s at both the Downtown and Caledonia locations. Those members, and all members who identify as a gender opposite from their birth gender, must use these facilities.
4. It is up to each individual member to familiarize himself or herself with the location of these facilities at each branch.
POLITICAL ACTIVITY
Encouraging participation in the political process in general, such as voting, is congruent with strengthening communities and promoting social responsibility. While the Y recognizes the importance and responsibility of members and staff to participate in the political process, in accordance with Section 501(c)(3) of the Internal Revenue Code, Ys are prohibited from directly or indirectly participating in or intervening in any political campaign on behalf of or in opposition to any candidate for public office or political cause.
Members and guests may not solicit for any campaign or cause while visiting Frank P. Phillips Memorial YMCA. Members may not wear or post campaign/political paraphernalia on Y premises. It must also be made clear that any statements regarding public issues, candidates, or office holders are the opinion of the individual, not the Y.
PRIVACY POLICY
This privacy notice will advise you about our guidelines concerning the use of your personal information, including the reasonable efforts we make to protect your personal information in accordance with these guidelines, and about what choices you have concerning our use of such information. 1.0 PRIVACY We keep your private information private by
- Not selling your information. You have entrusted the National Council of Young Men’s Christian Associations of the United States of America and its independent and autonomous member associations (collectively “The Y”) with your personal information, and we're committed to using it wisely. The Y will not sell, share or otherwise transfer your personal information to anyone without your consent.
- Restricting who has access to your information. The Y takes reasonable precautions to restrict access to your Internet account and personal information only by employees who are authorized to have such access for business purposes. If you have any questions or concerns about our privacy policy, please contact us at [email protected] or 662-328-7696.
- Please refer to this policy regularly. The Y may need to change this policy from time to time to address new issues and reflect changes on our websites or within YMCA branches. We will post material changes on our websites or otherwise notify you and update the “Last Date Updated” field in the “Revision History” at the bottom of this page so that you will always know our policies regarding what information we gather, how we might use that information, and whether we will disclose that information to anyone.
This policy applies to the personal information that you provide to The Y, either through our websites and mobile applications or in person at a YMCA branch or program site. This policy does not apply to your use of unaffiliated sites to which our websites link. This policy does not apply to Personal Health Information (“PHI”) collected through the YMCA Diabetes Prevention Program or any other program offered by The Y that requires the collection of PHI or other HIPPA protected information.
Collection of Personally Identifiable Information
The Y collects personally identifiable information (PII) from you when you voluntarily submit such information to us. The collection of PII may occur in person or on a website or mobile application operated, provided or otherwise controlled by The Y. This information may include your name, home address, email address, telephone number, date of birth, demographic information, sex-offender status, membership status, emergency contact information, and other information that we may need to collect in connection with certain events, including but not limited to:
- registration for, or participation in, events, classes, camps, and other activities or programs offered by The Y;
- participation in YMCA Nationwide Membership
- registration for surveys, forums, content submissions, chats, bulletin boards, discussion groups, requests for suggestions, or other services or activities offered on our website;
- answering your inquiries about our websites, organization, membership, or other services or activities;
- registration as a member of The Y
Collection of Photographs
The Y may also collect your photograph, by capturing your image at a YMCA or scanning your personal identification card, for the purpose of identifying you as a member, volunteer or program participant. Your photograph will not be used for any commercial purpose without your authorization, and shall not be retained longer than three years from your last interaction with The Y.
Use and Disclosure of PII
If you do provide us with PII, The Y may contact you based on the information you provide to communicate with you about YMCA activities that may be of interest to you and your family.
The Y will use its best efforts to never disclose any PII about you to any third-party for purposes unrelated to the YMCA without having received your permission except as provided for herein or otherwise as permitted or required under applicable law.
We do not rent or sell PII, including information provided about children, to third-parties. The Y may share PII with trusted service providers, such as payment processors, technology partners or other providers that need access to your information to provide operational or other support services while you are a YMCA member or program participant. In certain circumstances, we may also share information with select similar nonprofit organizations that may offer activities of interest to you.
We may also provide PII to regulatory authorities and law enforcement officials in accordance with applicable law or when we otherwise believe in good faith that the provision of such information is required or permitted by law, such as in connection with the investigation or assertion of legal defenses or for compliance matters.
Collection of Payment Transaction Information
When you make a payment or donation, we collect information to process the financial transaction and may use that information to contact you in the future about The Y and its programs. Your payment information is transmitted to us, using a secure Internet method that helps maintain the privacy of this information. During the time your payment information resides on our computers, it is in an encrypted format and can only be accessed by authorized personnel with a decryption key.
Collection of Non-Personally Identifiable Information
We collect non-personally identifiable information without limitation, through the use of the following types of methodology:
- “Cookie” technology: A cookie is an element of data that a website can send to your browser, which may then store it on your system to help enhance your experience in using our sites and to provide us with technical information about your usage.
- IP address tracking: An IP address is a number that is assigned to your computer when you are on the Internet. When you request pages from our Sites, our servers log your IP address.
- Web beacons: A web beacon, or “clear gif,” is a small graphic image on a webpage or web-based document that a website can use to determine information about a user.
Although an industry-standard do-not-track (DNT) protocol has not yet been established, The Y’s information collection and disclosure practices and the choices it offers to consumers will continue to operate as described in this Policy.
Use of Non-Personally Identifiable Information
We use non-personally identifiable information for our purposes related to running YMCAs and their programs, and, in particular, to administering websites, and, in the aggregate, to determine what technologies are being used. We may also share aggregate, non-personally identifiable information with third-parties.
Collection of Sensitive Information
Where necessary, The Y may collect certain sensitive information from you, including
- payment card or bank account information to process fees or donations;
- health information in connection with various fitness programs, programs in which we are responsible for supervising children, health screenings, or other health service events that we may provide from time to time.
Privacy of Children
We are mindful that young people need special safeguards and privacy protection. We realize that they may not understand or be able to meaningfully consent to the provisions of our policy or be able to make thoughtful decisions about the choices that are made available to our adult users. We strongly urge all parents or legal guardians to participate in their children’s exploration of the Internet and any online services and to teach their children about protecting their personal information while online.
To provide the services we offer, we sometimes need to collect certain information about children in both online and offline contexts. If we ask for PII from children under 13 in connection with our online services, where required we will comply with the Children’s Online Privacy Protection Act (COPPA), including taking additional steps to protect the privacy of such information, including
- obtaining verifiable consent from the parent or legal guardian of the child before collecting or using the child’s PII;
- notifying parents about what PII is being requested and how that PII will be used and/or shared, such as through this policy;
- limiting the online collection of PII from children to no more than is reasonably necessary to accomplish the purpose of the collection;
- giving parents a description of and access to the PII we have collected from their children;
- offering them the opportunity to request that such PII be changed or deleted;
- offering them an opportunity to prevent any further use or collection of information about their children; and
- maintaining reasonable procedures to ensure the confidentiality, security and integrity of the personal information collected.
We may also need to collect certain information about children and minors in an offline context, such as when
- a parent or legal guardian of a minor signs up for a membership including the child at a local YMCA, or for a program or camp we offer at one of our locations; and
- minors visit our facilities without a membership, where we may collect information about them to be able to contact their parent or legal guardian to notify them of an injury or other issues involving the minor.
Links to Other Sites
Users may find other content on our websites that link to the sites and services of other third-parties. We do not control the content or links appearing on these sites. Third-party sites or services, including their content and links, may be constantly changing and may have their own privacy policies and customer service policies. We encourage you to review the privacy policies of any third-party sites or services before providing any of them with your personal information.
Choice/Opt-Out
If you opt-in to receive information from us, you can change your mind later. If at any time you would like to stop receiving such information or opt out of a feature, you may change your options by contacting [email protected]. You should be aware, however, that it is not always possible to completely remove or modify information in our databases and servers, although we will make reasonable efforts to do so upon your request, and we are unable to have your information removed from the records of any third-party who has been provided with your information in accordance with this policy.
Personal Data Access and Accuracy
You may contact The Y with inquiries or complaints regarding the use of information about you. We will use reasonable efforts to grant reasonable requests to access data about the requester. We will also make reasonable requests to correct any incorrect or misleading data about the requester.
2.0 SECURITY YMCAs take appropriate administrative, technical, and physical measures to safeguard against unauthorized processing of personal information, and against the accidental loss of, or damage to, personal data. However, The Y cannot provide an absolute guarantee of the security of any of our websites or any other site on the Internet.
Consent to Transfer
YMCA websites are operated in the United States. If you are located outside of the United States, please be aware that any information you provide to The Y will be transferred to the United States By using YMCA websites, participating in any YMCA services, and/or providing us with your information, you consent to this transfer.
California Privacy Rights
The California “Shine the Light” law permits California residents to annually request and obtain information free of charge about what personal information is disclosed to third-parties for direct-marketing purposes in the preceding calendar year. The Y does not distribute your personal information to outside parties for their direct marketing without your consent.

YMCA CODE OF CONDUCT
We are a Christian educational organization with purposes and programs based upon the teachings of Jesus Christ. At the Y, we expect staff, members and guests to behave in accordance with our mission and values at all times, respecting the rights and dignity of others. We demonstrate caring, honesty, respect, responsibility and faith by:
Dressing appropriately, speaking in respectful tones and refraining from vulgar and derogatory language,
Respecting the property of others; never engaging in theft or destruction,
Resolving conflicts in a respectful, honest and caring manner; never resorting to physical contact or threatening gestures,
Respecting others by refraining from intimate behavior in public; abstaining from contact of a sexual nature,
Creating a safe, caring environment; no firearms or weapons are allowed on the premises with the exception of sworn law enforcement officers with proper identification,
Participating in programs to build a healthy spirit, mind and body; never engaging in the use, sale, dispensing or passing of illegal drugs or narcotics, or the unsanctioned use of alcohol on YMCA premises; never using tobacco, e-cigarettes or vaping on or around YMCA premises.
Adherence to the YMCA Code of Conduct is essential. Noncompliance may result in suspension or termination of YMCA membership privileges.
